Designs created by the Division of Visual and Instructional Design are billable to the customer based on the number of uses and remain under the proprietary control of the division. The Division of Visual and Instructional Design is a self-supporting, cost-recovery entity within Georgia Health Sciences University Office of Academic Affair. Photography, videography, medical illustration and graphic design are created by the artists and delivered to the customer. Customers are billed on an hourly basis to cover the cost of salaries, benefits, travel, supplies, and training of employees of the division.
Reason for Policy
The Division of Visual and Instructional Design has been designated to function as a cost-recovery unit and is required to generate revenue to cover salaries, benefits, travel, equipment, and training of its employees. In an effort to meet the financial target deemed appropriate by the institution, designs created by the division are sold to customers, and proprietary rights to these designs are required to allow the division to function as a cost-recovery unit.
Entities Affected By This Policy
All Visual and Instructional Design customers, including university administrators, Georgia Health Sciences University faculty and staff, and outside entities seeking visual arts services that work in conjunction or cooperation with Georgia Health Sciences University, are covered by this policy.
Who Should Read This Policy
This policy should be known and understood by all customers of Georgia Health Sciences University Visual and Instructional Design Division, whether they be internal or external entities.

Designs created by the Division of Visual and Instructional Design are billable to the customer and remain under the proprietary control of the division. Photography, videography, medical illustration and graphic design are created by the artists and delivered to the customer. Customers are billed on an hourly basis to cover the cost of salaries, benefits, travel, supplies, and training of employees of the division.
The Division of Visual and Instructional Design bills customers for a one-time use of the design developed to customer specifications. Any additional uses of the design, as in collateral materials, must be requested from the division and appropriately billed.
The responsibilities each party has in connection with Academic, Research, and Student Affairs Policy 10.03, Policy for Proprietary Control of Photography, Videography, and Artistic Design, are:
|Director of Visual and Instructional Design||Provides oversight and ensures compliance with Georgia Health Sciences University’s graphic standards policies.|
|Graphic Artist||Provides professional graphic design for faculty, staff, and external customers compliant with the institution’s graphic standards policy.|
|Medical Illustrator||Creates professional medical illustration for visual arts projects that comply with the university’s graphic design standards.|
|Photographer||Provides professional photography for use by Georgia Health Sciences University faculty and staff. Maintains a library of stock photographs for use in Georgia Health Sciences University publications. Provides professional photographic coverage of Georgia Health Sciences University events as requested by administration, students, staff, and external customers.|
|Technical Illustrator||Creates professional scientific posters, charts, graphs and illustrations used in journal articles, presentations, grant applications, and marketing events to internal and external customers.|
|Video Production Specialist||Provides videographic coverage of institutional events including lectures, ceremonies, presentations, continuing education programs, and student events.|
|Senior Video Production Specialist||Provides oversight, supervision, and editing expertise for all video projects completed by Georgia Health Sciences University Division of Visual and Instructional Design.|
